Position Description Summary
The primary responsibility of the Intern Recruiter & Coordinator is to manage the Clubs’ J-1 and collegiate internship programs, recruiting, marketing, and serving as the point of contact for all Interns by providing helpful guidance and assisting with the completion of required internship documentation.
Role & Responsibilities
• Maintain employee confidentiality at all times
• Proactively engage colleges, universities, trade and vocational schools, technical schools, and local high schools to maintain a steady recruiting pipeline
• Work with managers to create thorough, well-rounded internship programs for all departments
• Coordinate the arrivals and departures of all interns
• Attend recruiting events and fairs, as needed
• Provide college interns with training guides, ensuring all parts are completed in a timely manner
• Assist with documentation required by the schools, ensuring all are submitted on time
• Check in with managers about the performance of interns, assisting them with evaluations, as needed
• Assist in the development of intern marketing materials, ensuring the Club is well represented
• Update online job postings, keeping Club site current with open positions
• Assist with recruiting for other areas of the Club, as needed during peak times
• Support the HRM by helping with resume screenings, phone screens, and interview coordinations, as needed
• Monitor the HR voicemail inbox and return calls/distribute messages as needed
• Assist in the documentation of HR department policies, best-practices, recurring duties, and reference guides, maintaining accurate and up-to-date records, maintaining process notes, and updating the HR guidebook, as needed
• Assist in the upkeep of necessary records, ensuring auditable paper trails
• Liaise with J-1 sponsor companies throughout the year, providing them with all required materials and documentation
• Maintain J-1 personnel records, including periodic file audits, ensuring documentation compliance
• Coordinate the arrival and departure of J-1 interns
• Be the main point of contact for international interns while they are on island
• Assist with off-island trips to the grocery store, SS office, and bank
• Plan and coordinate off-island excursions and cultural activities, recruiting volunteers as needed
• Manage intern housing assignments, monitoring on-island dorm housing and ensuring compliance
• Be detail-oriented and able to prioritize in a dynamic environment
• Be knowledgeable about recruiting and HR policies, especially those within the company handbook
• Solve problems, work as a team, be a leader, and inspire happiness
• Maintain up-to-date credentials, certificates, and licenses, as applicable

Qualifications & Education Requirements
• Recruiting experience required
• Working knowledge of office operations
• Must possess appropriate analytical skills, attention to detail, follow-through, creativity, and a high level of motivation
• Proficient in business-related software (Microsoft Office Suite, HRIS, etc)
• Ability to communicate effectively and professionally in both written and verbal formats
• Willingness to learn and accept instruction
• Must possess a positive attitude and good work ethic
• The preferred candidate would be a Nice person, who is both hungry and humble
• High level of interpersonal/human relations skills – “people-smart”
• Prior office administration experience preferred
• Ability to maintain confidentiality required
• College degree in Human Resources, Workforce Development, Hospitality, Business Management, or similar a plus
• At least 1 year of prior experience in an office, hotel, club, resort, or similar preferred
• Must possess a positive, upbeat, and friendly disposition and attitude with a desire to help others
